Biggest tip I can give for follow-up emails is to be direct and concise. Everyone is going to be digging out from a week of missed emails and SHOT follow-up. The longer the email, the more likely that they will skip it.

I know of some camping gear review sites that have so many writers and follow-ups that they use a CRM system to track all contacts.

My team uses CamCard to scan business cards. Then we merge each person's list into a master list that is exported to Excel. We tag each contact in CC for the event and for what it is about (camping, firearms, military vehicles, affiliate marketing). That lets us automate initial follow-up, if we want to, and ping them again before the next event.

you know, i have thought at a way to actually "share" contacts and cards. even though i may not have made contact with a certain company, what if a project later on in the year requires working with said company? if someone else has already obtained the correct contact, that could help others. i am not sure how to facilitate that but it could be a neat way to network while helping others.
